Can Users Opt-In and Opt-Out of Receiving InformaCast Notifications?

When it comes to mass notification systems, flexibility is often the key to a successful deployment in an organization. This flexibility includes how messages are sent, but also how people within the organization receive the message. Having opt-in and opt-out functionality puts more power into the hands of the end user to define the best experience for themselves. It’s important for organizations to understand their duty of care when it comes to sending messages before enabling these features so that no one misses a message that would keep them out of harm’s way.

In this blog post, we’ll review the options available to InformaCast customers for opting-in and opting-out of receiving InformaCast broadcasts, and discuss best practices for sending mass notifications.

Opt-in to Receive Emergency Notifications

With InformaCast, organizations can specify a number for people to text that will opt them into receiving alerts These alerts will be sent as SMS text messages and this feature is only available through InformaCast Mobile or Fusion. This functionality is especially helpful for use cases that involve visitors that will be in facilities for short periods of time. This may be parents coming for a weekend on a college campus, or contractors that will be doing work in a healthcare facility. When visitors text the number they’ll automatically be placed in a group that administrators can then manage for sending alerts. This group can also be set to expire after a certain period of time so that group doesn’t continue to receive alerts.

While this opt-in is good for short-term events or for people not regularly included in the organization, Singlewire Software does not recommend large organizations use this as a primary means of including their people in InformaCast broadcasts. The key to successful mass notifications is speed and reach. When an organization is unable to tell exactly who they are reaching and only tries to reach those people via one channel, they rarely reach everyone they intend to with critical safety information. Utilizing mobile and on-premises means for reaching people, as well as loading users into the mass notification system, make it much more likely everyone will receive the message.

Opt-Out of Receiving Emergency Notifications

Customers that have InformaCast Mobile and InformaCast Fusion can opt-out of receiving notifications in a number of ways. Logging out of the InformaCast Mobile app will stop push notifications from being received by the device where the app is stored. Administrators can lock a users account, or a user can utilize the self-service functions to set a do not disturb window for receiving notifications. Users can also send a message to a specified number asking to stop receiving notifications.

Singlewire Software believes that organizations should utilize every channel at their disposal to send messages about emergency situations. The opt-out feature for InformaCast Mobile and InformaCast Fusion is available, but organizations are encouraged to assess their needs, the frequency of their alerts, and the content of their messages before enabling this feature for end users.
