Assign, schedule, conduct, and record safety drills

Organizations that put safety first are prepared for the worst, but sometimes that prep can be almost as difficult as managing an actual incident. Safety Manager eliminates cumbersome spreadsheets, and unreliable pen-and-paper methods for organizations that need to conduct safety drills. Easily assign and schedule drills and create checklists to digitally record that drills have been completed.

Safety Manager from Visitor Aware

Schedule and Assign Safety Drills

If you have multiple sites, or need to conduct multiple safety drills over the course of a year, keeping track of what needs to get done and when it needs to get done is no easy task. Safety Manager enables your organization to assign drills to certain people and designate time frames when drills need to be completed from a web-based interface.

Create Checklists

Once drills have been assigned, your organization can also add tasks that need to be completed. The person the drill has been assigned to can mark that each item has been done as the drill is conducted. This could include checking that doors were locked or unlocked

Maintain Digital Records

Many organizations are required to conduct drills to comply with local ordinances. Safety Manager creates digital records your organization can use to demonstrate the drills have been conducted and your organization is in compliance. Unified digital record keeping reduces headaches and can be more accurate than trying to grab data out of spreadsheets, scan handwritten checklists, or put together reports after a drill has taken place.

Family Reunification

If your organization experiences a real incident, you need to know where people are and whether or not they are safe. Using Safety Manager, your organization can account for everyone during a crisis and record their status and location. After an event, it can be used for reunification. It will also create digital records that document every step of the process that can be reviewed later.

Tip Line

The more insight schools have about potential threats the better they can address them. Safety Manager includes a tip line to quickly inform school resource officers, staff, or school administration of situations that may impact student and staff safety. School safety tips can be submitted with contact information or remain completely anonymous.

Safety Manager is a K–12 safety drill and reunification platform from Singlewire Software that replaces clipboards, paper rosters, and post-drill paperwork with a single digital system for planning, running, and reporting on every school safety drill. Part of the campus movement and safety suite, Safety Manager helps schools run drills more effectively, account for every student in real time, and stay compliant with state and federal safety requirements.

Safety Manager replaces paper rosters, hand-counted student tallies, and post-drill spreadsheets with live digital accountability on any device. Instead of teachers carrying clipboards to evacuation sites and the office collecting forms afterward, every staff member checks students in from a phone or tablet—and administrators see accountability building in real time as it happens. Drill reports are generated automatically; no manual data entry required.

Safety Manager guides schools through every step of a drill—scheduling, communication, running, and reporting. Administrators set drill type, date, and procedures in advance; staff get clear instructions on their phones the day of; and live accountability data flows in as teachers confirm students are with them. After the drill, the report is ready in seconds for state submission or district review.

Safety Manager supports every drill type required by state and federal regulations—fire, lockdown, severe weather, earthquake, bus evacuation, intruder, shelter-in-place, and more. Each drill type comes with a configurable workflow that captures the specific data states require (response times, accountability percentages, deficiencies noted), so one tool covers everything from the annual fire marshal report to lockdown documentation.

Safety Manager turns reunification into a controlled, documented process. Staff scan students into reunification stations, verify pickup against the school’s approved-contact list, and release each student to a verified guardian with a digital record of the handoff. Administrators see live accountability as families are reunited, and post-event reports document every step.

Safety Manager pulls real-time accountability from the staff closest to each student. Teachers confirm each student in their class is present (or absent and where they were), and administrators see a building-wide dashboard that updates in seconds. Students with hall passes, visitors on site, and off-campus students all roll into the same picture—so school leaders know exactly who’s accounted for, who’s still being located, and where to send help.

Safety Manager automatically captures the data states require—drill date and time, response time, accountability percentage, deficiencies, corrective actions—and generates the reports administrators need to file. Schools using Safety Manager stay compliant with state fire marshal requirements and district-specific drill standards without manual data entry or end-of-year scrambles to assemble paper records.

Safety Manager runs in any modern web browser and on iOS and Android devices, so it works on the devices schools already have—Chromebooks, laptops, iPads, teacher phones, administrator phones, front-office computers all without needing to download an app or invest in special hardware. Staff can access Safety Manager even when Wi-Fi is unavailable, with offline accountability that syncs as soon as connectivity returns.

Yes. Safety Manager supports ClassLink, Clever, Google, Microsoft, and other major SSO providers, and syncs rosters via OneRoster or directly from the school’s SIS. Staff and student rosters stay current without manual maintenance, and approved-contact data feeds reunification automatically.

Safety Manager uses the standard roster fields a school already maintains in its SIS—name, grade, classroom, and approved contacts for reunification. Safety Manager doesn’t collect biometric data. All data is encrypted in transit and at rest and meets FERPA, COPPA, and state student-data-privacy requirements.

Safety Manager is one module in Singlewire’s campus movement and safety suite, a connected set of K–12 safety and operations tools that share data across the school day. The suite also includes Visitor Aware (visitor management), Hall Manager (digital hall passes), Dismissal Manager (afternoon dismissal coordination), and Bus Manager (student-to-bus accountability). Schools can adopt one module or the whole suite, and pair the suite with Singlewire’s InformaCast critical communication and incident management platform.

Safety Manager isn’t a standalone drill tracker—it’s part of the campus movement and safety suite, so accountability data flows in from hall passes, dismissal plans, and visitor logs rather than relying on staff memory or a separate roster import. It’s built by Singlewire Software, the same company that powers critical communications and incident management for thousands of K–12 districts through InformaCast, so safety drills and live incident response use the same platform. And it covers the full safety lifecycle—drills, live emergencies, reunification, and reporting—instead of just one component.
